WINH Privacy Policy

At When I Need Help (WINH), our goal is to help you become more successful at trade shows. We know that privacy is important to you and want you to know that it’s important to us too. As such (and, to be completely transparent – in an effort to comply with GDPR and other relevant regulations), we’ve created this page to share our intentions regarding privacy.

In this document, we’ll explain how and when we collect, use, and share your information. We’ll also outline your options for getting in touch with us, as needed. The policies listed here apply to information collected through our websites, WhenINeedHelp.com and HowToTradeShow.com.

Types of Data We Collect

We collect data from you in order to communicate with you, to provide any resources you’ve requested or services you’ve paid for, and other reasons (as listed below). Specifically, we collect:

PERSONAL INFORMATION:  Depending on the resources and/or service(s) you’ve requested, we may require your name (to personalize our communications), email address, phone number, and mailing address (to communicate with you), organization and role (to prepare relevant examples), birthday (to send celebratory notes), and location (to ensure compliance with GDPR and other relevant regulations). We will also note the webinars, workshops, and other sessions you attend in our records (in order to share requested resources and share relevant offerings). If you choose to purchase our services online, we will also collect your payment information (however, this isn’t stored on our servers – we use Square for processing, as below).

COOKIES: In order to understand who visits our website and how they explore it, to save you time when you register for resources or our mailing list (e.g. in filling out personal information fields), and to improve our offerings, we use cookies (like many websites). You may disable cookies, if you prefer, in your browser; however, please note that this may reduce the functionality on our websites.

SUBSCRIBER & CLIENT SURVEYS: From time to time, we will send out surveys to better understand your opinions and interests. We typically send these via MailChimp and use Google Forms for processing (as below). If you do not wish to participate, please do not (we only want your feedback if you’re comfortable sharing it).

SOCIAL MEDIA: We include our social media links on our website for your convenience. Connecting with us on social media is completely optional – please do not follow or request to connect if you are not interested in keeping in touch that way or if you are not okay with the privacy policies of the social media providers (we don’t have any control over the data they collect from you – here are their policies: LinkedIn and Twitter).

Information Sharing & Disclosures

PERSONAL INFORMATION: In order to process your personal information, we may use the following services (their privacy policies are linked for your convenience): WebZPro (website hosting), Zoom (webinar registration), MailChimp (mailing list), LeadPages (website design), Square (payment processing), Google Forms (surveys), and YouCanBook.me (scheduling).

ADVERTISING: We do not currently allow advertising from outside companies on our websites; however, because we are a business (and need to pay our bills), we may use advertising to make you aware of relevant offerings and upcoming events/speaking engagements. Typically, this advertising occurs on our social media channels and you may update your notification settings with them (or utilize an ad-blocker in your browser) to avoid seeing them.

THIRD-PARTIES & AFFILIATES: We do not sell, trade, or share your data with third parties (except, as stated above, when processing your data through one or more of the service providers who help us help you). Again, this privacy policy applies to our websites (whenineedhelp.com and howtotradeshow.com), it does not apply to those service providers. We have included their privacy policies above for your convenience. We don’t have any control over their policies, so please review those before continuing.

LEGAL REASONS: If we believe in good faith we are (a) required by law, subpoena, or other legal process; (b) required to enforce our agreements/policies; (c) required to prevent, investigate, and address issues related to illegal activity, security, or technical issues; or (d) required to protect the rights, safety, and property of our clients or others, it may be necessary to share your information.

Data Retention

We will retain your personal information for as long as is necessary to provide you with relevant services and as described above. As a small business, we are also required to retain the data of our clients for legal purposes (typically, we will keep client data in our files for a period of seven years).

POLICY CHANGES: We reserve the right to revise, amend, or modify our privacy policy at our discretion. We will do our best to keep you informed, when appropriate, but we do encourage you to review this page from time-to-time to ensure you’re familiar with our current privacy policies.

Global Operations

We are based in the United States and all of our physical operations occur here (except when contracted by an organization in Canada or another country – in which case, we travel to those places too). Our online business efforts are processed by the organizations above. Some do process data internationally, so please double check their privacy policies, if you have any concerns about where your data is processed.

Your Options

CORRECTING & UPDATING PERSONAL INFORMATION: If your information changes or you are no longer interested in our offerings, we will give you a way to do this. We will help you update your personal information if you email info@whenineedhelp.com with the subject line “GDPR.”

OPT-OUT: We currently offer three “frequency” options for our newsletter subscribers: monthly, weekly, and all messages. If you are receiving too many emails, we encourage you to consider reducing your frequency. If you would prefer to unsubscribe, you may do so at any time (via a link provided at the bottom of each email).

As a client, you may not opt-out of emails related to important service notifications or account-related messages (like agreements and invoices) except as stated in the “termination” clause of our agreement.

OBJECT: If you are concerned about the way we’re processing your information and our grounds for doing so (or continuing to do so), you have the right to object to those efforts. We don’t want to SPAM you or otherwise bother you, so please bring this to our attention by emailing info@whenineedhelp.com with the subject line “GDPR” and we will address your concerns.

COMPLAIN: If you live in the EU and would like to complain about how we use your information, you have the right to do so by contacting your local data protection authority.
